Privacy policy

This policy explains what information Callwave handles when you use our service and when people call an Agent you have set up, why we handle it, and the choices you have.

01Who is responsible

For your account information, we decide how it is used. For the calls your Agent handles and the information your callers share, you, our customer, decide how it is used, and we process it on your behalf and on your instructions.

02Information we handle

Depending on how you use the service, this may include:

  1. 01Account details such as your name, work email, company name, country and industry.
  2. 02Business knowledge you give your Agent, including website pages we read at your request and documents you upload.
  3. 03Call information such as caller phone numbers, call times and durations, transcripts, summaries and, only where you switch it on, recordings.
  4. 04Details callers share during a call, such as their name, a booking time or an order number.
  5. 05Billing information. Card payments are handled by our payment partner and we never see or store full card numbers.
  6. 06Technical information such as browser type and basic usage logs, used to keep the service secure and working.

03Call recording and consent

Call recording is switched off by default. If you turn it on, you can set a consent message that your Agent says at the beginning of each call.

You are responsible for making sure recording is lawful where your callers are located, including giving any notice and obtaining any consent required by the laws of the UAE, Saudi Arabia and every other country your Agent takes calls from or makes calls to.

04How we use information

We do not sell personal information, and we do not use your callers' information to market our own services to them.

  1. 01To run your Agent, answer and place calls, and produce transcripts and summaries for you.
  2. 02To keep the service secure, prevent abuse and investigate problems.
  3. 03To bill you correctly for the plan and minutes you use.
  4. 04To contact you about your account and important changes to the service.

05Retention

Call data is kept for the retention period set on your account, which is 365 days unless you choose a different period. After that period it is deleted or anonymised.

You can delete individual calls sooner from your account. Account information is kept while your account is open and for a limited period afterwards where the law requires us to keep records.

06Sharing with service providers

We rely on carefully selected providers for telephony, speech, hosting, email and payments. They process information only to provide their part of the service to us, under written agreements that require them to protect it.

When you connect an integration, information flows to that system because you asked it to. Its own privacy terms then apply to what it holds.

07Your rights and choices

You can access, correct, export or delete your account information, and close your account at any time. Callers who wish to exercise their rights over call data should contact the business they called. We will help our customers respond to those requests.

08Security

We protect information with encryption in transit, access controls and audit logging. No system is perfectly secure, and we will tell affected customers promptly if we become aware of a breach that affects their data.

09Website visits and demo calls

We count visits to our website ourselves, with no outside analytics service. A random identifier in a first-party cookie lets us tell new visitors from returning ones. We record the pages you read, the site that sent you, your browser and device, and the country and city your connection comes from. We do not keep your IP address. Visit records are deleted after about 13 months.

When you ask for a demo call, we keep your company name, your name if you give it, your phone number, the time you chose and the call's recording and transcript, and use them only for that call and to improve our Agents. We call each number at most once every 30 days.
